Setareh Law Group, a Beverly Hills employment and wrongful termination firm, keeps cases moving across California with integrated court filing and process serving.
"Time is the one thing that’s unreplaceable. I have no regrets in moving over [to InfoTrack]."
Allan estimates that every filing and serving order placed through InfoTrack saves at least five minutes on expensing alone. (That's not including pre-filled fields and automatic document retrieval.)
At at a conservative estimate of 7.5 minutes saved per filing and a three-month average of 243 filings per month, Setareh Law saves hundreds of unbillable hours annually with InfoTrack.
At the same estimate of 7.5 minutes saved per process serving order, and a three-month average of 116 process serves per month, that's a total of 540 unbillable hours saved using InfoTrack.
Setareh Law Group is a Beverly Hills employment firm where nearly all the work — 98 to 99 percent of it — is wage-and-hour class actions and wrongful termination, with a small slice of personal injury. The firm gets compensated on contingency.
Since every dollar spent on filing and service is a dollar it recovers at the end, nothing in the litigation service workflow is a throwaway cost.
Setareh files across all of California — “anywhere from San Diego all the way up to Sacramento,” says Allan Garcia-Quinteros, the firm’s office manager. Because California courts have standardized on three different eFiling systems covering different regions, filing cases statewide used to mean juggling a confusing array of vendor portals.
Before InfoTrack, Setareh’s filing work was spread across whichever eFiling service providers were compatible with the system used by local courts. San Francisco cases were filed with File & Serve Xpress. Most other counties went through One Legal. Any jurisdiction not covered by those two vendors meant dredging up yet another third-party portal.
When a critical filing task slipped, identifying the breakdown was a project of its own. “We’d see who [an assignment] got emailed to,” Allan explained, “and then we’d have to trace the emails back and look over who was assigned to what, and why we didn’t follow up.”
Staying on top of process serving orders was worse. With the old system, individual team members frequently checked the status of service on each defendant, hoping the right person was available at a convenient time to answer their questions. “We wouldn’t get updates until towards the end,” Allan said.
Habitually choosing the cheapest service option had always seemed like smart cost management. But then Allan started to think about all the hours spent portal-hopping, chasing process servers, reconstructing email chains, and manually moving conformed copies into the case file. Data entry and organization tasks that can’t be billed for were filling up the firm’s time sheets, overstressing its employees and forcing Setareh to routinely apply high-skill labor to low-skill work.
These hidden costs would never show up on an invoice. But they were accumulating in the background, draining the firm’s resources and hurting its profitability.
Allan came up as a legal assistant, so he had a strong sense of where processes could be improved. When he noticed the InfoTrack: File and Serve button built into his MyCase cases, he activated a free account and explored on his own before setting up a demo.
An InfoTrack representative walked him through every task InfoTrack could automate for his team, and that was the tipping point.
The move was not a fight. “There wasn’t any pushback from the firm, really,” Allan says. The team set up training sessions with InfoTrack reps, and within about a month, the firm had made the full migration. “It was fairly easy to transition people over” Allan said, “and it became even easier with the AI feature.”
Filing got faster. InfoTrack’s AI-assisted filing scans each document and populates the filing details automatically, so the team isn’t reading the caption, retyping the data, and double-checking their own typing. Allan estimates it takes roughly five minutes off each filing. His team still proofs each one using the split-screen document preview — “as a rule, we always check, make sure everything’s aligned” — but the review moves faster than data entry and gives the firm peace of mind. At 10 to 20 filings a day, he points out, “that’s already an hour that you’re saving.”
His team stopped hunting for case documents. This is the one Allan keeps coming back to. When a filing is accepted by the clerk, the stamped copy sync to the relevant MyCase case automatically. “We don’t have to download them [from the court portal] and upload them into MyCase.” Same for service documents and affidavits — every finalized document received at the end of an order returns to the proper case folder on its own.
Attorneys stopped asking “Where’s that serve?” Instead of checking on defendants one at a time and waiting to hear back from the server, the entire Setareh team sees a precise serve timeline status for every defendant. “We’re able to see if there was an attempt, when the attempt was done, the location, and an update.” When a server can’t reach an individual defendant, Allan’s team can add a skip trace to help move service forward.
The status of case tasks became crystal clear. A color-coded, firm-wide dashboard allows Allan’s attorneys and the entire litigation team to see who placed each filing or service order when, and where it sits at this exact moment. “It reduces a lot of that ambiguity,” Allan says. Compare that to the well-worn fire drill: Get an urgent inquiry from an attorney, interrupt everyone’s work to investigate, “and pray that [the order] went through.”
Allan says that upgrading from “free” eFiling to InfoTrack’s professional litigation service system has delivered results in at least four measurable areas:
A minimum of 5-10 minutes unbillable time saved per task. Allan says this is typical for a standard filing, but the firm likely saves more on new complaints. Bundle filing and service together for a new case (as the firm usually does), and the savings compound. “Everything in this field is time-sensitive. [InfoTrack] does help us a lot in reducing time.”
Cost recovery, protected. On contingency cases, the firm recovers filing and service costs at the end. Documented expenses now automatically record to the MyCase case, and flow directly into the client’s next invoice. Allan puts the expense handling alone at about five minutes per order — “but for 15, 20 filings throughout the day, that’s an hour.”
No rejection fees. This one lands directly on the ledger. Other eFiling providers bill for documents the court rejects. While rejections are rare, Allan says, “We gladly thank [InfoTrack] for not doing that.”
Support that shows up. If something doesn’t work as expected — either with InfoTrack or the court system — the firm gets answers faster than they ever could on hold with the public support line. “In a matter of 24 hours, or even sooner, things have been corrected.”
To see the true cost of each filing and service order, a firm must account for every action that is taken before the task can be considered complete. Patching together “free,” bare-bones solutions can seem thrifty on the surface. But when they come with unnecessary manual work, missed cost recoveries, too-frequent rejections, and persistent confusion about the status of critical case work, their true cost is one a modern law firm cannot afford.
Setareh Law Group consolidated all of these disparate systems into one that works in perfect harmony with MyCase — and got hours back every day.
“Time is the one thing that’s unreplaceable,” Allan says. “I have no regrets in moving over [to InfoTrack].” If decisionmakers have doubts, he noted, it’s free to create their InfoTrack account and get started. “You’ll see how much it reduces time.”
